Tips for creating a project plan
When it comes to creating a project plan, there are no set rules. But what we can do is give you a few helpful tips to guide you while creating yours. These questions should help get those creative juices flowing and help you put your plan into action.
1. Is an executive summary necessary?
Yes! This summarises the project and needs to come first. Within it, you’ll need to add all the project details that will be discussed in-depth throughout the plan and won’t be more than a page long. While it is the first page of the document, it is often created last, after all the information has been compiled.
Here are a few things to include:
- Objectives and goals
- Methodology and framework
- Deliverables
- Risks and countermeasures
- Milestone summary
- Project timeline
- Cost estimates
2. Unpacking the scope of the project
This helps you determine a timeline and framework that ensures that it happens within it. You can include deliverables and what needs to be approved. Indicating potential risks and who’s accountable for managing them will also feature in this section.
3. What is the structure of it all?
There are so many different frameworks that can guide the project and assist with planning it all effectively. You need to choose the structure that best fits your project and stick to it. You need to know where you’re starting and the steps required to reach completion. The structure will help you set this out.
4. Do you have resources?
Consider your available resources before taking on a new project. This includes the time you have, team, budget, technology and equipment and other physical resources.
5. What is your timeline?
Time frames help to create a sense of urgency, and without it, you may find that your project is unsuccessful or delayed on more than one occasion. You need to create a schedule of events and follow it to ensure that everything is completed according to plan.
6. Can you adapt to change?
Things can change in the blink of an eye and your project plan needs to be able to adapt accordingly.
