Planning can be a problem if you don’t have the right tools for the job. Fortunately, monday.com is the ultimate tool and is here to help! In this guide, we will explore different ways to organize users. However, you can use these methods to customize anything you like.

Map availability

Before you start scheduling, you need to have an idea of the employee’s availability. You can create a table (like the one below) to capture employee availability for quick reference when scheduling.

Create your board

For this table, each group is created as a week. Each part is a user. There are five status columns, one for each day of the week, with symbols representing how we track availability. In this case, we want to know if the employee is available all day (“IN”), in the morning (“AM”), in the evening (“PM”), or not (“OOO” or “On). space”).

Use forms

To create the table above, we use the monday.com model. Each user receives a form that he enters in his availability and, once the form is entered, this information is automatically filled in the table. This helps maintain privacy – one user won’t see another user’s activity.

Shift schedules

If your employees work in shifts and you need to create a weekly schedule for them, the visual element in the People column makes planning easier. Add a People column to your table for each variable.

Each group should define a week with each item being a day of the week. From there, it’s easy to assign users.

Automate processes with the right tools

You can create automation on this board to notify an employee whenever they are assigned a shift. It’s a great way to keep everyone engaged and informed.

Check your time

You can add additional columns to the dashboard to track scheduling needs. In this example, we have added an array column called “Total Employees” to count the number of employees assigned for the day.

Conversion process

If you’re looking to coordinate tasks that rotate between teams, using a tool like monday.com can help ensure that tasks are distributed efficiently.

Schedule reminders

You can also set a due date reminder from the Date column menu. Selecting this option will lead you to set up automation. We recommend creating automation to notify the person in charge of the most important tasks.
